We are actively looking for an experienced Accounts Payable Specialist to join the team.
Duties & Responsibilities
Codes such items as invoices, vouchers, expense reports, check requests, etc., with correct accounts and project codes conforming to standard procedures to ensure proper entry into the financial system.
Handles all vendor correspondence via phone or email.
Receives, researches and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons.
Investigates and resolves problems associated with processing of invoices and purchase orders.
Attaches the corresponding purchase orders to incoming invoices with all supporting documentation.
Verifies that insurance and contracts are on file prior to issuing payment to vendors. Coordinate with Contracts Administrator.
Review invoices selected for payment weekly, verify accuracy, and prints checks according to established procedures. Prepares batch check runs.
Records manual checks in system promptly.
Records and files voided checks accordingly.
Reconciles various accounts by identifying errors in posting or omissions by applying appropriate accounting standards.
Sends out, receives, and files release of liens for payments to subs. Logs into database per job.
Scans, maintains, and distributes accounting documents, records and reports.
Maintains and updates vendor records and W-9 requirements
Performs duties required during financial audits such as pulling information requested.
Backs up Reception with phones.
Performs other duties as required to support Accounting Department.
